OSS Network - Privacy Policy and Terms of Service

This document contains the privacy policy and terms of service (collectively "Policies") for the OSS Network application ("OSS Network," "we," "us," or "our"). The Policies explain how we collect, use and protect personal information, outline your rights and choices, and describe the rules governing use of our services. These Policies apply whenever you access or use our website, mobile applications or other services (collectively, the "Services"). By creating an account or continuing to use our Services, you agree to be bound by the Policies and our data practices.

Privacy Policy

1. Introduction

OSS Network is committed to protecting the privacy of our users. This Privacy Policy explains what information we collect, why we collect it and how we use it. It also describes how you can control, access and update your personal information. We strive to use plain language so that these provisions are clear and easy to understand.

2. What information we collect

We collect and process different types of information depending on how you use the Services:

  1. Account and profile information - When you register for an account or complete your profile, we collect your name, email address, password, belt level, weight class, training goals and other information you provide voluntarily. Students may also record competition history, injury status and availability.
  2. Payment information - If you purchase premium features or services, we collect payment details (for example, credit-card numbers and billing addresses) via our payment processor. We do not store full card numbers but may store partial details and transaction identifiers.
  3. Cookies and similar technologies - We use cookies and similar tracking technologies to improve the Services, remember preferences and provide analytics. For more details, see Section 7 below.

3. How we use your information

We use the information described above for the following purposes:

  1. Provide and improve the Services - We use your data to create your account, enable log-in, customise your profile and provide core features such as attendance tracking, competition calendars, analytics dashboards and communication tools. Usage data helps us troubleshoot problems and refine our Services.
  2. Communications - We may send you administrative messages (for example, account updates, password resets, billing receipts) and service-related notifications (for example, reminders to complete a profile or sign up for competitions). You can opt out of promotional emails by following the unsubscribe instructions.
  3. Analytics and insights - We aggregate and anonymise personal data to generate insights for instructors and head instructors (for example, attendance trends or belt-level distribution). These insights help instructors improve class offerings and monitor athlete readiness. We do not disclose identifiable student information to other academies without consent.
  4. Legal compliance - We may process and disclose your information to comply with legal obligations, enforce our Terms of Service or respond to lawful requests by public authorities.

4. How we share information

We share information only as necessary to provide and support the Services and as permitted or required by law:

  1. Instructors and head instructors - If you belong to an academy on OSS Network, your instructor(s) and head instructor can view your profile, attendance, competition history and analytics related to your training. Instructors cannot view your payment information.
  2. Third-party service providers - We may share information with vendors who perform services on our behalf, such as hosting providers, payment processors, email delivery services and analytics partners. These providers access data only to perform their functions and are obligated to protect your information.
  3. Legal requirements - We may disclose information if we believe it is necessary to comply with a legal obligation, protect our rights or defend against legal claims.

We do not sell or rent your personal data to third parties.

5. Data retention and security

We keep personal information only for as long as necessary to provide the Services and fulfill the purposes described in this policy, unless a longer retention period is required by law. We use industry-standard security measures to protect your information, including encryption in transit, restricted access controls and periodic security reviews. However, no method of transmission or storage is completely secure; therefore we cannot guarantee absolute security.

6. Your rights and choices

Depending on your region, you may have rights under applicable privacy laws to access, correct, update, delete or export your personal information. You can update your profile through the app or contact us to exercise these rights. You can also control certain data uses:

  1. Marketing preferences - You may opt out of promotional emails at any time by clicking "unsubscribe" in the message or updating your preferences in the app.
  2. Analytics and personalisation - You may disable non-essential cookies (see Section 7) or limit certain app features that rely on data analysis. However, this may affect your experience.
  3. Profile visibility - You can control what information is visible to other users. Some fields (for example, belt level or competition history) may be required to participate in certain features, but you may choose to leave optional fields blank.

7. Cookies and tracking technologies

We use cookies, web beacons and similar technologies to recognise your device and provide a better experience. Cookies help us:

  1. Remember your settings and preferences (for example, language or dark mode).
  2. Authenticate your session so you stay logged in.
  3. Analyse how the Services are used to improve performance and user experience.
  4. Deliver relevant communications within the app.

You can control cookies through your browser settings. However, disabling certain cookies may limit your ability to use key features of the Services.

8. International transfers

We operate globally, and our servers may be located outside of your country. This means your information may be transferred to, and processed in, other jurisdictions where data protection laws may differ. We take appropriate measures to ensure that your data remains protected and treated in accordance with this Privacy Policy.

10. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect new features, changes in the law or our data practices. We will notify you of any material changes by posting the updated policy on the Services and, if appropriate, providing notice in the app or via email. Your continued use of the Services after changes take effect constitutes acceptance of the revised policy.
